Scheduling

Getting the whole crew on the same calendar

Published 21 July 2026 ยท Prices last checked 21 July 2026

When bookings are spread across texts, a paper diary, and someone's memory, keeping the calendar straight becomes a job of its own. A shared schedule can help. These five tools take different approaches, from a simple team calendar to a system that follows a job through to payment.

What comes with the calendar

Most of these tools include more than a calendar. Quotes, invoices, payments, and customer records come in the same package, so it helps to check which parts you would use.

Working alone, you might want customers to book without a round of phone tag and a clear view of your day. With several people on the road, being able to see who is available becomes more useful.

Start with the bookings you handle now. A shared calendar may be enough for a helper who works alongside you; independently dispatched technicians need more detail. The comparisons below include both kinds of setup.

Jobber

Jobber's Core tier was $21/month on annual billing for a single user in the July comparison. Connect ($70/mo) adds automated client reminders, QuickBooks Online sync, and automatic payment collection. Grow ($105/mo) adds two-way texting and job costing. Plus ($280/mo) includes 15 users and adds an AI receptionist and dedicated onboarding. Additional users were listed at $29/month. At those rates, one extra person takes Core to $50/month. Check the introductory period and renewal rate alongside the user allowance.

Housecall Pro

Housecall Pro's Basic plan is $59/month annual (or $79/month paid monthly) for one user. That's a pricier starting point than Jobber for the same single-operator use case. More interesting for a growing crew is Essentials at $149/month, which includes five users out of the gate, with no per-seat math until a sixth hire. Max, at $299/month, includes eight users and adds route optimization and open API access, with additional seats after that running $35/month each.

Workiz

Workiz lists Standard, Pro, and Ultimate plans, with the first five users included. The base price requires a quote. Additional seats were listed at $55/month on Standard and $65/month on Pro with annual billing. Ask for a total for your crew so you can compare it with the published plans.

Connecteam

Connecteam focuses on time clocks, shift scheduling, and team messaging. Its Small Business plan is free for up to 10 users, with Operations, Communications, and HR & Skills included. Paid tiers start at $29/month for Basic, $49/month for Advanced, and $99/month for Expert, covering the first 30 users. It suits a crew that needs to organize people and hours; quoting, invoicing, and payments need a separate tool.

Service Fusion

Service Fusion includes unlimited users at every tier. Starter is $208/month on annual billing ($245/month paid monthly), Plus is $325/month annual, and Pro is $533/month annual. A flat subscription becomes more useful as more people need access. Compare the total for your crew with the features included in each plan.

Tool Entry price Users included Best fit
Jobber $21/mo (Core, annual) 1 (+$29/mo per extra) Solo operator who wants quotes, invoicing, and payments in one place, cheap
Housecall Pro $59/mo (Basic, annual) 1 (Essentials includes 5 at $149/mo) A 2 to 5 person crew that wants seats bundled instead of billed per head
Workiz Not published (quote required) First 5 included on every plan Crews comparing a custom quote with published plans
Connecteam Free (Small Business, up to 10 users) Up to 10 free; 30 at $29 to $99/mo tiers Time clock and scheduling only, not a substitute for invoicing software
Service Fusion $208/mo (Starter, annual) Unlimited on every plan A crew of six-plus where per-seat pricing elsewhere gets expensive

Adding people to the plan

At the Jobber rates above, Core plus one additional user costs $50/month; with two additional users it is $79/month. Housecall Pro Essentials includes five users for $149/month on annual billing. The plans include different features, so compare those alongside the user count.

Price the people who need access now, then check what another hire would add. Include any time needed to move customer records and job history if you switch systems.

Trying the app where you work

Try the mobile app somewhere you normally work with poor reception. Open a job, make a note, and see what happens when the connection returns. Check which features work offline and which need a connection.

If several people can edit the same job, ask how conflicting offline changes are handled. Payment capture may have different connection requirements from notes or time tracking. Those details are worth checking during a trial.

Monthly billing gives you more flexibility while you try a system. Housecall Pro's Basic plan was $59/month on annual billing versus $79/month paid monthly in this comparison. The lower annual rate can be useful once you know the app fits your work.

Narrowing the list

  • Jobber: compare additional-user fees with the larger user bundles as your crew grows.
  • Housecall Pro: Basic starts higher than Jobber Core in this comparison; compare the features and billing term you would use.
  • Workiz: get a written total that includes your users and any setup fees.
  • Connecteam: a useful option for time tracking and team schedules if you already handle customer billing elsewhere.
  • Service Fusion: unlimited seats become more useful with a larger crew. Its $208/month annual entry price is a bigger commitment for a solo business.

Shortlist the tools that cover your bookings, then price them for the people who need access. During the trial, put a few ordinary jobs through the calendar and billing process. That will tell you more than another hour with the feature list.

For the rest of the workflow, see invoicing, payments, and customer records. The annual cost comparison puts the subscriptions and processing fees together.
